Terms of Service
Last Updated: October 24, 2026
1. Acceptance of These Terms
These Terms of Service ("Terms") are an agreement between you and TrackPhase ("we," "us," or "our") and govern your use of the TrackPhase web and mobile applications (collectively, the "Service"). By creating an account, purchasing a subscription, or otherwise using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.
If you use the Service on behalf of a school, club, or other organization, you confirm that you are authorized to accept these Terms for that organization.
2. The Service
TrackPhase is a training management application for track & field and cross country coaches and athletes. Coaches use it to build periodized training plans, manage teams and rosters, enter competitions, and review athlete wellness and performance. Athletes use it to view their training, log workouts and results, complete wellness check-ins, and keep a training journal.
The FAT Pro desktop software and TrackPhase timing hardware are separate products. Any terms presented when you buy them apply to those products in addition to these Terms. FAT Pro is an annual license, billed $500 per year through Stripe, that renews automatically until cancelled. To cancel or ask about a FAT Pro or timing-hardware purchase, contact support@trackphase.app. Timing hardware is sold by written quote and invoice, and the terms in that quote apply.
3. Eligibility
- Minimum age 13. You must be at least 13 years old to create an account. Our registration flow blocks account creation for anyone who indicates they are under 13.
- Athletes ages 13–17. Minor athletes may use the Service with the involvement of a parent or guardian. We send a direct notice to the parent or guardian email provided at registration. A minor's account cannot be used until the parent or guardian verifies consent, and some features, such as nutrition tracking and AI meal-photo analysis, require additional parental consent, as described in Section 9 of our Privacy Policy. A parent or guardian who allows a minor to use the Service accepts these Terms on the minor's behalf.
- Coaches and purchasers. You must be at least 18 (or the age of majority where you live) to create a coach account or purchase a subscription.
4. Accounts & Security
- You sign in with an email address and password, and may also register a passkey for passwordless sign-in. Provide accurate information and keep it up to date.
- You are responsible for keeping your password, passkeys, and devices secure and for all activity under your account. Do not share your account.
- Tell us promptly at support@trackphase.app if you believe your account has been accessed without your permission.
- You can delete your account at any time from Settings → Delete Account in the iOS app, or by emailing privacy@trackphase.app. Deleting your account does not cancel an App Store subscription; cancel it through Apple. Cancel any web subscription from Billing before you delete your account, or contact support@trackphase.app and we will cancel it.
5. Subscriptions, Billing & Renewal
5.1 Plans
TrackPhase is free to start. Coaches may upgrade to a paid plan for larger rosters, more teams, and additional features. Paid plans are available to coach accounts only. Current plans and prices (USD) are listed on our Pricing page:
- Coach Pro: $12.99 per month or $129.99 per year
- Coach Elite: $24.99 per month or $249.99 per year
Features and limits for each plan are described on the Pricing page. App Store prices may vary by region and are shown before you confirm a purchase.
5.2 Purchases Through the App Store
If you subscribe in the iOS app, Apple processes the payment and your subscription is also subject to Apple's terms. Apple charges your Apple ID, handles renewal, and manages cancellation and refunds for that subscription.
5.3 Purchases on the Web
If you subscribe from your browser, payment is processed by our payment processor, Stripe. Your card details are entered with and stored by Stripe, not by us. You are charged when you subscribe and at the start of each billing period.
5.4 Automatic Renewal
Paid plans renew automatically at the end of each monthly or yearly billing period, at the then-current price, until you cancel. If we change the price of a web subscription, we will tell you in advance; App Store price changes are communicated by Apple.
5.5 Cancellation
- Web subscriptions: sign in and go to Billing, then Manage subscription to cancel, update your card, or download invoices.
- App Store subscriptions: cancel from your Apple ID subscription settings on your device. We cannot cancel an App Store subscription for you.
When you cancel, your plan stays active until the end of the billing period you have already paid for. After that, your account returns to the Free plan and its limits apply. Your data is not deleted when a subscription ends.
5.6 Refunds
- App Store: refund requests are handled by Apple under its policies. If Apple issues a refund, the paid plan for that purchase ends.
- Web: payments are non-refundable and we do not provide refunds or credits for partial billing periods, except where required by law. If you were charged by mistake, for example for both a web and an App Store subscription at the same time, contact support@trackphase.app and we will review it.
5.7 Plan Changes & Failed Payments
To switch between paid plans on a web subscription, contact support. App Store plan changes are made through Apple. If a web renewal payment fails, your plan may remain active for a short period while Stripe retries the payment; App Store billing retries are handled by Apple. If payment is not completed, your account returns to the Free plan.
5.8 Apple App Store Terms
If you downloaded the TrackPhase iOS app from the Apple App Store, the following also applies:
- These Terms are between you and TrackPhase only, not Apple. TrackPhase, not Apple, is solely responsible for the app and its content.
- Your license to use the app is limited to a non-transferable license to use it on Apple-branded products you own or control, as permitted by the Usage Rules in the Apple Media Services Terms and Conditions (the App Store Terms of Service). Those terms also apply to your use of the app.
- Apple has no obligation to provide any maintenance or support services for the app.
- If the app fails to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price (if any) of the app to you. To the maximum extent permitted by law, Apple has no other warranty obligation for the app, and any other claims, losses, liabilities, damages, costs, or expenses caused by a failure to conform to a warranty are TrackPhase's responsibility to the extent these Terms provide.
- Apple is not responsible for addressing any claims by you or any third party relating to the app or your possession or use of it, including product liability claims, claims that the app fails to meet any legal or regulatory requirement, and claims under consumer protection, privacy, or similar laws.
- If a third party claims that the app or your possession and use of it infringes that third party's intellectual property rights, Apple is not responsible for the investigation, defense, settlement, or discharge of that claim.
- You confirm that you are not located in a country subject to a U.S. Government embargo or designated as a "terrorist supporting" country, and that you are not on any U.S. Government list of prohibited or restricted parties.
- You must comply with applicable third-party terms (such as your wireless data service agreement) when using the app.
- Apple and its subsidiaries are third-party beneficiaries of these Terms. Once you accept these Terms, Apple has the right (and is deemed to have accepted the right) to enforce them against you as a third-party beneficiary.
Questions, complaints, or claims about the app should be sent to support@trackphase.app.
6. Acceptable Use
You agree not to:
- Use the Service for anything unlawful, or to harass, threaten, or harm anyone
- Access, or try to access, another person's account or data, or an athlete or team you are not authorized to manage
- Upload content that is unlawful, abusive, or infringes someone else's rights
- Enter information about another person that you have no right to share, including health information about a minor without the required authorization
- Probe, scan, or test the Service for vulnerabilities, or interfere with its operation, security features, or rate limits
- Scrape, copy, resell, or reverse engineer the Service, except as the law expressly allows
- Create accounts by automated means or under false pretenses
7. Your Content & Data
You keep ownership of the content and data you put into the Service, such as training plans, workout logs, results, wellness check-ins, journal entries, and notes. You grant us a limited license to host, store, process, and display that content only as needed to operate and provide the Service to you and the people you share it with.
- Sharing within a team: health, wellness, and training data an athlete submits may be visible to that athlete's assigned coach(es). That visibility is a core part of the Service.
- Coaches: if you add athletes to your roster or enter data about them, you confirm that you have the authority, and any required parental or organizational permission, to do so.
- Result sync: if you link an Athletic.net, TFRRS, or MileSplit profile, the Service imports publicly posted results for that profile. We do not control those sites or guarantee the accuracy of their data.
- Copies and deletion: you can request a copy of your data or delete your account as described in the Privacy Policy.
How we collect, use, share, and retain personal information, including health data and data about minor athletes, is described in our Privacy Policy.
8. AI Features
Some plans include optional AI features, such as training-load recommendations and meal-photo nutrition estimates. These features send the relevant data to our third-party AI provider to generate a result, as described in the Privacy Policy. AI output is an automated estimate and may be incomplete or wrong. Review it before you rely on it. It is not a coach's, dietitian's, or doctor's judgment.
9. Training & Health Disclaimer
TrackPhase does not provide medical advice. Training plans, readiness and wellness scores, injury-risk indicators (such as ACWR), load recommendations, nutrition estimates, and other information in the Service are for general training and informational purposes only. They are not a diagnosis or a substitute for professional medical advice, diagnosis, or treatment.
- Consult a physician or other qualified health professional before starting or changing a training program, and whenever you have pain, an injury, or a health condition.
- Stop exercising and seek medical help if you feel faint, dizzy, short of breath, or experience chest pain.
- The Service does not monitor athletes in real time and is not an emergency or medical device. In an emergency, call your local emergency number.
Athletic training and competition carry an inherent risk of injury. You participate voluntarily and assume those risks. Coaches remain responsible for the training they prescribe and for supervising their athletes.
10. Notifications
If you allow it, the iOS app sends push notifications (delivered through Apple's push notification service) for things like session and check-in reminders, posted results, and coach alerts. You can change notification preferences in the app or turn notifications off in your device settings. We may also email you about your account, billing, security, or legally required notices.
11. Third-Party Services
The Service relies on third parties: Apple (App Store, HealthKit, push notifications), Stripe (web payments), Anthropic (AI features), Resend (email delivery), Google Analytics (website analytics), and hosting providers (Vercel, Neon). Your use of a third-party service may be subject to that provider's own terms, and we are not responsible for third-party services we do not control.
12. Intellectual Property
The Service, including its software, design, text, graphics, and the TrackPhase name and logo, is owned by us or our licensors and protected by intellectual property laws. Subject to these Terms, we grant you a limited, personal, non-exclusive, non-transferable, revocable license to use the Service. We reserve all rights not expressly granted. If you send us feedback or suggestions, we may use them without obligation to you.
13. Termination
You may stop using the Service and delete your account at any time. We may suspend or terminate your access if you violate these Terms, if your use creates risk or legal exposure for us or others, or if we discontinue the Service. Where reasonable, we will give you notice first. Deleting your account does not cancel an App Store subscription; cancel it through Apple. Cancel any web subscription from Billing before you delete your account, or contact support@trackphase.app and we will cancel it. Sections that by their nature should survive termination, including Sections 7, 9, 12, 14, and 15, will survive.
14. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. We do not warrant that the Service will be uninterrupted or error-free, that data will never be lost, or that results, predictions, scores, imported results, or AI output will be accurate.
15. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW, WE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF DATA, PROFITS, OR GOODWILL, ARISING FROM OR RELATED TO YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM RELATED TO THE SERVICE WILL NOT EXCEED THE GREATER OF THE AMOUNT YOU PAID US FOR THE SERVICE IN THE 12 MONTHS BEFORE THE CLAIM OR US $100.
Some jurisdictions do not allow certain warranty exclusions or liability limitations, so some of the above may not apply to you. Nothing in these Terms limits liability that cannot be limited under applicable law.
16. Changes to These Terms
We may update these Terms from time to time. When we do, we will revise the "Last Updated" date at the top of this page, and for material changes we will give notice in the Service or by email before they take effect. Continued use of the Service after changes take effect means you accept the updated Terms.
